Our legal basis for processing data
Our lawful basis for processing personal data is to fulfil our contract with you. Where we collect health or medical information about your child, the lawful condition is to protect the vital interests of your child and to ensure their wellbeing while in our care.
How we use and store your data
All personal data is kept securely. We use a secure online system, Kids Club HQ, to manage contracts, bookings, child records, and payment records.
We only retain data for as long as necessary. Once your child stops attending Badger Club, we securely erase data that is no longer required*.
We will use the contact details you provide to communicate with you about your child, the Club, relevant news, and payment of fees.
When we may share your information
We will only share personal data with third parties if we:
Have a safeguarding concern about your child
Are required to do so by government bodies or law enforcement agencies
Engage a supplier to process data on our behalf — for example, we have an accountant who may view partially masked bank statement details to manage our accounts
Need to share relevant information with medical professionals in an emergency, where you have given consent for emergency treatment for your child
Share the daily attendance register with the school to ensure safeguarding and smooth handovers
Need to share relevant details of a complaint with the school, if the complaint involves them and it is appropriate to do so
Have obtained your prior permission

Ask for any errors to be corrected
Request for your data to be deleted - please note we may not be able to continue to care for your child if we do not have sufficient information about them
We will respond to all such requests within one month.

We are legally required to retain certain information even after your child leaves our care*.
